Minutes of the general meeting for the year 2024-2025
Introduction
The general meeting of the Phyto-info non-profit organization was held, following the convocation of its President, on 13 July 2025 at 10:00pm (local time) in France and by videoconference.
The President noted that all members of the Board of Directors were present, either physically or online: Ms. Karine Fenix (Vice-Chair), Mr. Nicolas FĂ©nix (Treasurer), Ms. Fany Savina (Secretary). The total number of votes was thus four; the President then declared that the Assembly was regularly constituted and could validly deliberate and take decisions by the required majority.
Moral report
Reminder of the values of the non-profit organization
The aim of the non-profit organization is the democratization of knowledge about plants, their risks and benefits, as well as the creation, development and dissemination of any educational material in the field of plants.
The Chairperson recalled that Phyto-info had a strictly educational purpose and was in no way an aid in diagnosing a pathology or in setting up a treatment, the latter being reserved for health professionals. The President also recalled that some plants can cause side effects and are likely to interfere with drug treatments, so it was strongly recommended to consult a doctor or a health professional before using medicinal plants.
Reminder of the Internal regulations
The amount of subscription, as indicated in the internal regulations, remains unchanged for the year 2025-2026.
Active members are those who are members of the board of directors and those whose request is unanimously accepted by the board of directors. Active members undertake to provide a certain number of hours of volunteer work each year and to pay a subscription of 30 euros.
Supporting members are those who support the actions of the non-profit organization and who have undertaken to pay an annual subscription of 15 euros.
The annual subscription is due as soon as the new members are approved. Any subscription paid is definitively acquired by the non-profit organization.
Roadmap for the coming year
- Secondary hosting
The server (on which the website is hosted) is managed by Phyto-info to protect the privacy of our users as much as possible. To avoid any interruption in service, we will soon be setting up secondary hosting that will serve as backup in case of technical problems.
- Locate an online herbalist for a possible partnership
In order to facilitate access to plants for our visitors, we will look for a partner online herbalistry. Our selection will be made with care, giving priority to the quality of the products, an indispensable criterion for us.
- Adding plants to our database
We are maintaining our pace and continuing to enrich our database with 2 to 4 new plants per month. As of July 15, 2025, we have 81 plants, with the goal of reaching 100 by the end of this new fiscal year.
- Videoconference workshops
We plan to create workshops accessible via videoconference.
- Workshops and walks
We plan to renew the botanical walks and plant preparation workshops next spring. Some walks will be offered before the end of this summer. The workshops will be set up on request.
- Tailor-made books
In order to popularize the use of medicinal plants, while continuing to emphasize their precautions for use, we are working to create personalized content to include plants that interest our visitors. In this content, you will find the traditional uses of selected plants, as well as how to prepare them. This content will be available free of charge in PDF format and can be obtained in print on request for a contribution towards the cost of production.
- Theme books
In addition to custom books, we also plan to publish theme books on the same principle as custom books, namely the free PDF version and the print version available on request for a contribution covering the manufacturing costs.
- Finalize the translation of our site and search tool in English
We’re almost there! Just a few more details to sort out and our first, eagerly awaited English version will be available soon. For its launch and future communications, we will use LinkedIn.
- Free access
We save the best for the end… In order to find a compromise between a philosophy of sharing information and an inflow of money necessary for the proper functioning of the non-profit organization, we opted two years ago for partial access to our database. This year, our philosophy of sharing has far outweighed the pecuniary issues; we will very soon put all our information on plants in open access. We still allow our visitors the opportunity to join our non-profit organization (which entitles them to other benefits) or make a donation to us. We would also like to thank all those who have supported us financially so far. Phyto-info is and will remain ad-free and without click traps and, contrary to the general rule, we remind that our visitors are not the product.

Resolutions to vote on
- First resolution: Quitus of the moral report
The general meeting approves the moral report of the Board of Directors and approves its management; this resolution is adopted unanimously.
- Second resolution: Exit from the financial report
The general assembly approved the financial report of the office and authorized it to manage it; this resolution was adopted unanimously.
- Third resolution: Roadmap for the coming year
The general assembly approved the roadmap for the coming year; this resolution was adopted unanimously.

Closing
With no one else wishing to speak, the President reminds everyone that the report covering the period from 01/07/2024 to 30/06/2025 demonstrates an active non-profit organization and reflects the achievement of previously set objectives. The President thanks the members present for their involvement and dedication to keeping this non-profit organization alive, and reiterates her commitment to doing everything possible to energize and develop the non-profit organization.
As the agenda was exhausted, the meeting rose at 11.10 a.m.
